Overview
Bourbon Trail Rentals, LLC ("we," "us," or "our") operates a private internal receipt scanning application (the "App") used by our staff to process expense receipts and record them in our QuickBooks Online accounting system. This Privacy Policy describes how we collect, use, and protect information in connection with the App.
Who uses this app
This App is a private, internal business tool. It is not available to the general public. Access is limited to authorized employees and contractors of Bourbon Trail Rentals, LLC.
Information we collect
When the App is used, the following information may be processed:
• Receipt images uploaded by staff members
• Expense data extracted from those images (vendor name, date, amount, line items)
• QuickBooks Online account data necessary to record expenses (customer names, class names, account names)
• Authentication tokens used to connect to QuickBooks Online via Intuit's OAuth 2.0 service
How we use this information
Information collected through the App is used solely for the following internal business purposes:
• Extracting expense data from receipt images using AI processing (Anthropic Claude API)
• Recording expenses in our QuickBooks Online accounting system
• Maintaining accurate financial records for our property management business
Third-party services
The App uses the following third-party services to function:
• Anthropic Claude API — used to read and extract data from receipt images. Receipt images are sent to Anthropic's API for processing. Anthropic's privacy policy applies to this processing.
• Intuit QuickBooks Online — expense data is recorded in our QuickBooks Online account via Intuit's API. Intuit's privacy policy applies to data stored in QuickBooks Online.
• Netlify — the App is hosted on Netlify's platform. Netlify's privacy policy applies to hosting-related data.
Data retention
Receipt images are processed in real time and are not stored permanently by the App. Expense data recorded in QuickBooks Online is retained in accordance with our standard accounting record-keeping practices and applicable law.
Data security
We take reasonable precautions to protect information processed by the App. API keys and authentication credentials are stored as encrypted environment variables on our hosting platform and are never exposed in the browser or to end users.
Your rights
